**About The Department of Foreign Affairs and Trade**
The role of the Department of Foreign Affairs and Trade (DFAT) is to advance the interests of Australia and Australians internationally. This involves strengthening Australia’s security, enhancing Australia’s prosperity, delivering an effective and high quality overseas aid program and helping Australian travellers and Australians overseas.
The department provides foreign, trade and development policy advice to the Australian Government. DFAT also works with other Australian government agencies to drive coordination of Australia’s pursuit of global, regional and bilateral interests.
**About the position**
This position provides consular, passports and notarial advice and services to Australian Citizens in Morocco under Australia’s consular and passports policies and guidelines. The position is also responsible for managing the Embassy’s grants programs.
Key responsibilities of the position include but are not limited to:
- Provide a range of consular services, including notarial, to Australian citizens and other countries of accreditation in accordance with Australian Government guidelines and legislation.
- Manage consular cases and provide on the ground assistance to consular clients, including, but not limited to prison and hospital visits.
- Operate consular and passports related databases and filing systems and maintain financial and accountable documents in accordance with regulations.
- Manage the Embassy’s crisis and contingency planning, review and update Australia’s travel advisory for Morocco and provide reports on consular and passports statistics.
- Develop and maintain a range of key contacts and build strong working relationships within the Moroccan government, local authorities, diplomatic missions and service providers
- Under supervision, provide voting services to Australians during Australian election periods.
- Assist in ministerial visits and occasionally act as liaison between internal and external stakeholders.
- Assist with translations and interpretation (as required).
- Act as back-up to other officers (as required) and other ad-hoc duties (as required).
**Qualifications/Experience**
- Excellent customer service skills with sensitivity when dealing with complex queries.
- Excellent organisational skills and an ability to prioritise and meet tight deadlines.
- High-level of initiative and ability to work independently and within a small team.
- Strong interpersonal skills and the ability to establish and maintain effective stakeholder relationships.
- Strong capacity to exercise discretion and judgement and understanding of personal privacy protections.
- Sound written and oral communication skills and a demonstrated ability to translate and interpret between English, French and Arabic.
- Ability to deal with difficult clients and customers.
- Previous experience in consular work would be an advantage (but not necessary).
- Previous experience in using consular or passport software would be an advantage (but not necessary).
- Must be flexible and adaptable, with good resilience.
**SELECTION CRITERIA**
The word limit is strictly 250 words per response. The panel will not assess responses that exceed the word limit.
A. Very strong client service skills including communication, interviewing and liaison skills and the ability to communicate empathically, clearly, and simply with people from diverse backgrounds both in person, over the phone and in writing.
B. Well-developed planning and organisational skills with the ability to manage multiple administrative tasks and priorities in a high volume, client-focussed environment.
D. Ability to work effectively with other team members in a small but busy team, demonstrating flexibility, resilience, reliability, and initiative.
E. Ability to communicate effectively in English, French and Arabic both orally and in writing with internal and external stakeholders.
F. High level IT literacy and proficiency with Microsoft Outlook, Word and Excel.
